Doctor's Appointment: How to Message Your Boss About Leaving Early

Leaving early for a medical or dental appointment is routine, and the message can be short and professional. Here is how to ask, plus example wording you can adapt.

Appointments are one of the easiest reasons to communicate, because you can be honest without sharing any medical detail. Give the time you need to leave, keep the reason simple, and add a short line about your work. That is usually all your manager needs.

Ask in advance when you can

If the appointment is scheduled, tell your manager as early as you reasonably can. Advance notice gives them time to plan and makes a yes more likely. A day or more ahead is ideal for anything you already have booked.

Three example messages

Advance request

“Hi [Manager], I have a medical appointment on [day] and will need to leave by [time]. I will plan my tasks around it so nothing urgent is left open. Please let me know if that works.”

Same-day reminder

“Hi [Manager], just a reminder that I have my appointment this afternoon and will head out around [time]. I will finish what is time-sensitive first and follow up on anything else tomorrow.”

Short and private

“Hi [Manager], I need to leave by [time] today for an appointment. My key tasks will be done before I go.”

Keeping medical details private

You do not need to name the condition, the doctor, or the procedure. “A medical appointment” or simply “an appointment” is complete and professional. Share more only if you want to.

Common questions

Do I need to tell my boss what the appointment is for?

No. “A medical appointment” or simply “an appointment” is enough, and you can keep the details private.

How much notice should I give?

For a scheduled appointment, as early as you reasonably can, ideally a day or more ahead. If it comes up suddenly, tell your manager as soon as you know.
